This Privacy Policy explains how Physova and Sophronix LLP collect, use, share, and protect information when you use the Physova website, book a consultation, become a patient, or interact with our recovery tools.
Who we are
Physova is a home physiotherapy platform operated by Sophronix LLP. We help patients discover services, book consultations, connect with physiotherapists, and use recovery tools through our website and related digital channels.
What information we collect
We may collect personal details such as your name, phone number, email address, location, health concern summary, appointment preferences, and information you share while booking consultations, using recovery tools, or contacting Physova.
If you become a patient, we may also collect care-related details including session history, assigned exercises, therapist notes intended for patient visibility, and recovery progress information shared through the platform.
How we use your information
We use your information to respond to enquiries, schedule consultations or sessions, match you with the right therapist, deliver care-related updates, support recovery tracking, improve our services, and maintain platform security and operations.
We may also use your information to send appointment reminders, exercise reminders, payment-related communication, or service follow-ups through channels such as phone, SMS, WhatsApp, and email.
Health-related information
Certain information you provide may relate to your health, mobility, symptoms, treatment history, or recovery needs. We use this information only to support care coordination, booking, matching, and recovery-related service delivery within Physova.
Answers shared through the symptom guide are used to produce a non-diagnostic starting point. They are not included in website analytics. When AI enrichment is configured, those answers may be processed by Physova's configured AI service provider to generate the guide response.
Sharing of information
We share information only as needed to operate Physova and provide services. This may include sharing relevant details with physiotherapists, doctors, internal care coordinators, payment providers, communication providers, and trusted service partners who support the platform.
We do not sell your personal information to third parties.
Payments and third-party services
When you make a payment or use booking and communication features, certain details may be processed by trusted third-party providers such as payment gateways, messaging providers, hosting providers, analytics providers, and database or infrastructure partners. Their services are governed by their own terms and privacy practices.
Google account and calendar data
Physova uses Google Sign-In to authenticate users. When you choose Google Sign-In, we receive the Google account name, email address, profile picture, and a unique account identifier needed to create or sign in to your Physova account. We do not use this information for advertising or sell it.
A physiotherapist may separately connect Google Calendar. With the physiotherapist's permission, Physova requests access to create and update calendar events for confirmed Physova bookings. Calendar access is used only for that booking workflow; Physova does not use calendar data for unrelated purposes or share it with advertisers. Users can disconnect or revoke access through their Google account settings.
Authentication and calendar credentials are handled by our secured backend and retained only as needed to provide the requested feature, maintain security, and meet operational or legal obligations.
Cookies and analytics
Physova asks for your choice before loading optional website analytics. If you allow analytics, we may collect limited technical and usage information such as page paths, device or browser context, and interactions with website controls so we can understand and improve the public experience.
Analytics events do not include names, phone numbers, email addresses, health concerns, symptom-guide answers, custom health text, or exact appointment times. Session replay is disabled. You can decline analytics or change your choice using the Analytics preferences link in the website footer.
Data retention
We retain information for as long as reasonably required to provide services, maintain business records, meet legal or operational obligations, resolve disputes, and support continuity of care where applicable.
Your choices
You may request updates to certain profile details, ask questions about how your information is used, or request deletion of information where appropriate and legally permissible. Some records may need to be retained for operational, compliance, or patient-care continuity purposes.
Security
We take reasonable steps to protect information from unauthorized access, misuse, alteration, or disclosure. However, no digital platform can guarantee absolute security.
Children
If care is arranged for a minor, information should be provided by a parent, guardian, or authorized caregiver. We do not knowingly collect information from children without appropriate adult involvement.
